Overview
Velixo is an Excel-based reporting and planning solution that connects directly to ERP systems such as Acumatica and Sage Intacct. Velixo does not host, persist, or store any customer data. All data access is performed in real-time through authenticated API calls to the customer’s ERP instance.
However, to support technical clarity and compliance with the EU Data Act, this document explains how users can extract and preserve their data outputs and prepare for an exit or provider switch scenario.
Data Handling & Storage
No Data is stored by Velixo:
- Velixo is a connector and add-in: It interacts directly with the ERP system’s public APIs over a secure connection.
- No backend storage: Velixo does not store customer data on its servers.
- Excel is the data container: All retrieved data resides within the customer’s own Excel files.
Exit Procedure & Data Flattening
🧰 Using the Snapshot Feature
Customers can flatten their Excel reports to remove all Velixo-specific formulas and links, effectively producing a static version of the data suitable for archiving, auditing, or importing into another system.
To generate a Snapshot:
- Open the Excel file containing Velixo formulas.
- Go to the Velixo ribbon in Excel.
- Click Snapshot -> Create Snapshot Workbook.
- Velixo will generate a new copy of the workbook:
- All Velixo formulas are converted to values.
- The new file is fully independent from Velixo.
- ERP connection details and tokens are not carried over.
This file can now be:
- Stored securely by the customer
- Imported into another system
- Shared internally or externally without dependencies
Technical Details for Data Export

Provider Switch Considerations
As Velixo does not persist data, switching providers does not require a data migration process within Velixo itself.
However:
- Any reports built using Velixo (Excel files) can be retained.
- Snapshotted versions serve as historical records or a basis for rebuilding reports elsewhere.
- The ERP system remains the source of truth and should be the focus of any migration activity.
Data Deletion and Retention
Since Velixo does not store customer data:
- There is nothing to delete from Velixo’s infrastructure.
- Users are advised to delete any Excel files or local credentials stored on their devices if they are discontinuing use.
- Cached credentials (if any) in Excel can be cleared manually via Excel’s credential management tools.
Security and Authentication
- All connections are encrypted using HTTPS/TLS.
- User authentication is performed directly with the ERP system.
- Velixo does not proxy, intercept, or log ERP credentials or data.
